AiRo’s Intelligent Automation Solution for Pharmacovigilance AE Case Triage reducing turnaround time to 24 hours

Industry: Pharma

Client Overview:

This client is a leading pharmaceuticals, consumer care, animal health, and medical care company that is dedicated to researching and developing innovative products that enhance the health and well-being of both humans and animals globally.

In today's fast-paced business environment, pharma companies have to quickly and efficiently manage high volumes of cases. However, many organizations struggle with this task, leading to delays in case processing and an increased risk of non-compliance. The client was suffering from the same problem and wanted to streamline AE Case Triage by using an automation solution. The client approached AiRo to address these challenges through the use of automation and artificial intelligence.

The client was facing difficulty in prioritizing the cases

The client struggled with prioritizing cases based on seriousness and due date during high volume periods, which further contributed to delays. This resulted in the client being unable to handle urgent cases with stringent timelines, putting the client at risk of non-compliance with regulatory requirements. Additionally, the high volume of cases, coupled with volume spikes, tended to delay case processing, which resulted in a backlog of cases.

The client also faced difficulty in sorting AE/MI/PC cases, which added to the already high volume of cases and made it difficult to ensure that all cases were being handled in a timely and appropriate manner.

AiRo created an Intelligent Automation solution for Pharmacovigilance AE Case Triage

AiRo created a cutting-edge bot that can scan source documents located in a given folder, shared drive, or e-mail. The bot is able to identify and extract structured source documents, and even uses OCR if required. The bot has an inbuilt customizable algorithm that can sort cases based on various criteria such as report date, seriousness, initial or follow-up, urgent push cases, due date/time remaining and validity. The solution also has the ability to identify specific fields such as reporter consent or contactability and performs a duplicate search based on predefined values. The structured source documents for initial cases can be pushed for automated data entry, while fallout cases are prioritized for the book-in team.

AiRo wins client confidence by reducing turnaround time to 24 hours

The solution developed by AiRo has proven to be highly effective in addressing the challenges faced by the client when it comes to managing high volumes of cases. By using automation and artificial intelligence, the solution is able to quickly and efficiently sort, prioritize, and process cases, reducing turn-around time, improving real-time reporting, and reducing compliance risk. Additionally, the solution is able to absorb volume spikes and other unexpected surges, making it a robust and reliable solution for the organization.

The client recorded significant gains post-implementation:

  • Turnaround time was reduced to 24 hours for the majority of initial cases

  • 73% improved real-time reporting

  • 25% reduction in compliance Risk

  • Highly efficient and robust triaging of cases

  • Provides at least 50% increased efficiency and productivity.

  • Able to absorb volume spikes and other unexpected surges
